The Position

The Accounting and Contracts Manager is responsible for overseeing the Learning Center's day-to-day accounting operations and contract processes, including AP, AR, general ledger support, and contract tracking. This role manages accounting workflows, maintains financial records, and coordinates the lifecycle of organizational contracts while working closely with program, operations, and finance teams.

This is a manager-level individual contributor role within a lean and growing organization, responsible for owning and executing the Learning Center's accounting and contract management processes. This is a hybrid position with an expectation of in-office presence in the Oakland office at least two to three days per week.

The Accounting and Contracts Manager will to the Senior Director of Finance and work closely with colleagues across programs and operations, as well as with external partners and vendors. This a hybrid position, with a mix of remote and in-person work based out of our Oakland office (1-3 days).

Responsibilities include:

Core Accounting & Financial Operations

  • Own Month End Close
  • Prepare and post journal entries (accruals, deferrals, allocations, adjustments)
  • Perform monthly and quarterly account reconciliations
  • Maintainthe general ledger and coordinate month-end and year-end closeactivities
  • Analyze financial activity and resolve discrepancies
  • Assistwith financial statement preparation and internal reporting
  • Support audit preparation andmaintainstrong internal controls
Contract and Vendor Coordination
  • Manage the full lifecycle of contracts, including submission for review, tracking, signaturerouting, documentation, and ongoing contract record management
  • Maintain internal contract tracking systems and monitor upcoming renewals or action items
  • Serve as a point of contact for vendorsregardingcontract status, onboarding materials, andgeneral inquiries
  • Be the liaison to andassistwith vendor onboarding and offboarding, ensuringdocumentation is complete andtimely
Accounts Payable & Accounts Receivable
  • Input and process invoices
  • Ensureaccurateexpense coding to programs and grants
  • Manage vendor onboarding documentation (W-9s, contracts, insurance)
  • Generate revenue invoices tied to contractual deliverables
  • Monitorreceivables and follow up on aging balances
  • Support grant billing and revenue recognition tracking
Financial Systems & Process Management
  • Manage accounting systems (QuickBooks, Bill.com, etc.)
  • Maintain chart of accounts integrity
  • Support system integrations (CRM, project management tools)
  • Identifyopportunities to improve accounting workflows, strengthen documentation, and enhance system efficiency.
  • Maintainorganized financial documentation for compliance and audit readiness
Team and Culture Building
  • Foster a collaborative and inclusive environment that supports professional growth and development.
  • Promote a culture of continuous improvement by identifying opportunities to enhance systems and team capacity.
  • Act as a cultural steward, ensuring the Learning Center's values of equity, inclusion, and collaboration are reflected in the finance team's work and interactions.
Preferred Skills and Qualifications Including:

  • Bachelor's degree preferred, though not required; a combination of relevant education and experience will be considered
  • Approximately 3-5 years of experience in accounting, finance, contracts
  • Familiarity with contract or vendor coordination, invoicing, or accounts payable processes
  • Proficiency in Microsoft Excel, Microsoft Word, PowerPoint and Outlook
  • Experience with customer relationship management software, such as HubSpot
  • Experience with financial systems such as QuickBooks and Bill.com is a plus
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills, with the ability to collaborate effectively across teams and with external partners
  • Interest in working in a collaborative, mission-driven environment with a commitment to advancing equity

Compensation & Benefits

The salary range for this position is $150,000 - $165,000. The Learning Center offers a generous benefits package that reflects our commitment to team member health and wellness.
